Please observe all the published deadlines. http://inside.cpcc.edu/budget/default.htm CPCC Procedures for Year-End Closing - June 30, 2006 State and County Funds ONLY North Carolina budgetary constraints have placed additional pressure on all State-funded agencies to expedite the year-end closing process. Therefore, funds to cover part time salary, supplies, travel, and other miscellaneous expenses anticipated before June must be encumbered in advance. State account numbers begin with 11- ; 17- and County account numbers begin with 21-. Review Accounts All State and County accounts should be reviewed and budget transfers submitted to move funds, if necessary, to where they will be needed. Procurement should be notified if there are current encumbrances which should be released. This will allow obligated funds to be redistributed. P-Cards Charges Internal Reimbursement Requisitions (encumbrances not linked to E-procurement) must be entered to cover charges to P-Cards made in April and May. Be sure to include P-Card purchases already made in April in these encumbrances. Vendor #0077462 should be used on all P-Card Blanket Orders. This number should also be shown on P-Card reports for April, and May when they are submitted to Accounts Payable. When P-Card statements for April and May are processed, the appropriate BO will be reduced by the amounts indicated on the report. May purchases may or may not be paid from current fiscal year, dependent upon when the vendor's submission of charges to the bank. June purchases will be billed and paid from next year's budget. Non P-Card Purchases E-Procurement Requisitions for Blanket Orders (BO) and Purchase Orders (PO) should be entered to encumber funds for anticipated purchases not charged to a P-Card. The vendor for these purchases is the company or organization providing the goods or services. Travel Expenses Internal Reimbursement Requisitions (encumbrances not linked to E-Procurement) for Blanket Order (BO) should be done to cover anticipated travel expenses. A separate BO should be done for each traveler - the vendor for travel BOs is the name of the traveler. (If registration fees can be put on the P-Card, these should be included in the BO for P-Card charges and not included in travel BOs.) Deadlines April 7, 2006 All Requisitions (Internal Reimbursements & E-Procurement) for Blanket Orders and Purchase Orders must be entered by April 7, 2006. All available State and County funds will be frozen after this date. State funds exempted are New Industry, Literacy, Vocational Ed, Tech Prep, CED Special Projects, and Focused Industrial Training (FTT). May 12, 2006 All items, regardless of funding sources, must be received and all invoices submitted to Accounts Payable. If an encumbrance included an item that will not be purchased or travel expense which will not be processed, Procurement should be notified to reduce the encumbrance so those funds can be released. June 1, 2006 May P card statements and receipts must be received in Accounts Payable. NOTE: If deadlines are not met, expenses will carry over to the 2006-2007 budgets. This innovative program allows faculty and professional staff the opportunity to pursue research or develop projects beginning fall semester 2006. There are now two College Fellows tracks: the Learning Fellows track and the Applied Research track. Designated College Fellows are relieved of some or all of their normal responsibilities yet retain their current salaries. College Fellows may request additional monies for related expenses relevant to their research and project proposals. The College Fellows program is not a return-to-industry program nor is it a dissertation/master's thesis completion project. Instead, it is an opportunity for faculty and professional staff to acquire or produce further knowledge in their disciplines through research that will directly impact the learning-centered mission of CPCC. Learn more about this opportunity at the College Fellows website . Fill out the College Fellows Application for the track that interests you and return it to the College Fellows Program Selection Committee, LR 403A, Central Campus, by Friday, April 14, 2006. Interviews will be scheduled during the week of April 24, 2006. Awards and responses to applications will be communicated during the week of May 1, 2006. The first part of this procedure consists of transferring items not recently used into a separate area on the fourth floor in order to facilitate viewing of those items. The current category to be reviewed is the "Language and Literature" section. We recognize that literature books do not "age" in the manner that other subjects, such as technology, age. The books currently shelved on the fourth floor represent those titles that have not been checked out in ten or more years. Therefore, these are books that should be considered by both faculty and librarians for removal from the collection. We invite your participation in this process. Please take a look at these books. If you see any item that merits retention by our library, just pull it and place it on the book truck in the area labeled "Faculty/Staff Retrievals." Your retrievals are very important to us. The library will give them individual review for their return to the shelves, keeping in mind, however, factors such as the condition of the book, are there better copies on the shelves, is the book being replaced by a newer edition, and is the information available in a more accessible manner. Since there are many items for review, they will be available for your examination until the end of the spring 2006 semester and the faculty work week. After that review time, the library will dispose of the titles according to our combined assessments. If you are not able to examine the books in person, an online list http://www.cpcc.edu/library/faculty/Ps%20pull%20list.xls is available (DO NOT print, entire document has hundreds of pages). Just note the number of each title to be pulled and send them to mailto:vicky.tsai at cpcc.edu. Thank you for your interest and participation. -------------- next part -------------- An HTML attachment was scrubbed... This survey measures user's perceptions of library service. This is a very important survey for the libraries as it provides data that enables us to better meet the needs of our patrons. Some of you may remember that we participated in this survey in 2004. This year is a little different. We are the lead library in a project that includes 15 N.C. community colleges. The data we receive from this survey will help each of the individual colleges, but equally important it will provide data that will support efforts to enhance services and collections on a system wide basis. How you can help: 1. We need for you to take the survey. Please be candid. We want to know what you think. 2. Encourage your students to take the survey. We really need to know what they think. The last time we did this a number of you gave extra credit to students who took the survey. Complete our LibQUAL+ Survey March 20- April 8 and enter our drawing. http://www.cpcc.edu/library/ We urge you to be objective and to encourage your students to be objective. We need to know exactly what you think. As an incentive we will be giving two iPod Shuffles and six thumb drives to lucky students who take the survey and include their e-mail. CPCC's publishing house, CPCC Press, which was founded in 2003, is a rarity among community colleges. The mission of CPCC Press is to support the efforts of CPCC faculty and staff as well as select community authors in the publication of academic works, short run, and vanity press. CPCC Press dedicates itself to the publishing initiative in order to provide the College and its employees with valuable benefits. College faculty members are encouraged to take advantage of this innovative and entrepreneurial program. This year's CPCC Press Live event will include press authors from 2004, 2005 and 2006. This year's featured author is public radio commentator and CPCC faculty member Gerry Soud. He will read excerpts of his 2006 CPCC Press publication, "Life, As I Slice It," at both events. In addition, the CPCC Press Event will feature a partnership formed by the College, Charlotte-Mecklenburg Schools' English as a Second Language Program, and The Light Factory. Through funding assistance by the Arts and Science Council, CMS and The Light Factory created "My Family, Our Stories" to serve English as a Second Language (ESL) students in Charlotte-Mecklenburg Schools. The project helps prepare youth for participation in a global community through teaching basic photography skills while improving communication and literacy skills. "My Family, Our Stories" contributes to the artistic and intellectual growth of ESL students and gives the Charlotte community a photographic glimpse into their lives. This year, students from East Mecklenburg, E. E. Waddell and Carmel Middle School work with their instructors, Mary Lyn Somers, Kathy Melendez and Barbara Boal as well as professional photographer and writing artist Melissa Lukenbaugh. The students receive a total of 40 hours of instruction in basic photography and narrative writing and speaking. They are given the opportunity to photograph their families, community, and themselves. Students write a narrative describing their family and culture. Today, select students will have the opportunity to share their stories during the CPCC Press Event. These services will consolidate e-mail, voice mail and (in some cases) fax messages in our Outlook mailboxes. You'll be able to play the voice mail messages on your computer and view the fax messages in addition to the ability to forward these to others. You may see a change in your Outlook folder view configuration. Just like our paper filing system, a new folder will be created in Outlook called "Cabinet" which will contain "Voice mail" and "Fax" folders. You may add other folders in your Cabinet to organize your messages. When voice messages or fax messages are received, a global rule will deposit the messages into these folders. A graphical representation is provided for clarity below. If you currently have folders that are similarly named, they will remain unaffected, and if you already have folders with these names, they will not be affected and the messages will simply be deposited there. We have made diligent efforts in testing these automated processes. As always, please contact the ITS help desk if you experience any issues relating to this or other services we provide. The Adult High School/GED ceremony is scheduled for 1:30 p.m. The College ceremony is scheduled for 7:00 p.m. All CPCC faculty and staff and all guests will need to go through a security check, so you should allow adequate time. According to the full-time instructor job description, one of the responsibilities of a full-time faculty member is to participate in activities which enhance the College's service to students and to the community. Participation in graduation ceremonies is one way faculty meet this responsibility. Because the College conducts only one graduation ceremony each year, all faculty are expected to march in cap and gown in the ceremony unless they are assisting with graduation as a member of the graduation committee or as a volunteer or unless they are participating in or assisting with the Adult High School/GED ceremony. If a faculty member is unable to participate in the graduation ceremony, the faculty member is expected to inform the division director. Exceptions to active participation in the graduation ceremony will be handled on an individual basis at the division level. Mark Helms is coordinating volunteers for the College graduation and Florence Patterson is coordinating volunteers for the Adult High School/GED graduation. -------------- next part -------------- An HTML attachment was scrubbed... To prevent institutional liabilities, attendance reports and/or email verification will need to be returned to the Financial Aid and Veteran Affairs Office by Wednesday, March 29, at 5:00 p.m. According to federal regulations, Title IV funds are awarded to a student under the assumption that the student will attend school for the entire period for which the assistance is awarded. When a student withdraws, the student may no longer be eligible for the full amount of Title IV funds that the student was originally scheduled to receive. If the amount disbursed to the student is greater than the amount the student earned, unearned funds must be returned to the US Department of Education within thirty days after the student stopped attending. For those students who "never attended", the student's financial aid award is voided and the student is billed for any tuition, fees and/or bookstore charges. To eliminate students being billed, it is imperative that the Financial Aid Office receive notification of any "never attendees" and/or withdrawals. Throughout the semester, please continue forwarding the reports for those students who have stopped attending or emailing the information to the Financial Aid and Veterans Affairs Office. If you have any questions, please contact the Financial Aid and Veterans Affairs Office at 6942. -------------- next part -------------- An HTML attachment was scrubbed... On April 3, CPCC ITS and Marketing Services will launch a refined website design that incorporates the new tagline and branding developed by Marketing (view details on the new branding ), feedback we've received from our users, and traffic studies recently conducted by our departments. Although these changes are minimal, we believe they will make the site more user friendly. Please take time preview the main and secondary web pages. In an ongoing effort to improve our website, we welcome thoughts and feedback related to the new design. If you would like to provide feedback on the refined design, please contact the college Help Desk at 704-330-5000.
