(1) I recommend that you read the biographical details on the authors and the topics listed in the schedule of events to get a feel for what the writers represent in their works. The themes are many: civil rights, social justice, racial issues,cultural diversity, to name a few. An art instructor, for example, might ask students to listen for ways that poets create paintings with words. Several people have also suggested that the Legacy/Colleague Account Crosswalk be made available to everyone at CPCC. In order to accommodate these two types of requests, the Excel Crosswalk is now available on the Z (All Share) Drive in a folder called Crosswalk. Anyone on campus should now be able to access this file which will be updated at least twice a month. Below is a sample line from the crosswalk and how it is read. For those of you who are unfamiliar with Excel, the easiest way to find the Colleague account is to do a Find (Ctrl+F) on the unit number. All supervisors are reminded to begin scheduling time for these reviews. Below are instructions and guidelines for supervisors. Incomplete or improperly completed PDP forms cannot be accepted. PDP Instructions and Guidelines 1. Begin the year with clearly defined (written) expectations and goals. 2. Make regular notations of employee performance (minimum of monthly). 3. Provide continuous feedback to employee (no surprises on the PDP). 4. Use the correct form: a. Classified Staff b. Administrative & Professional c. Faculty 5. Make sure you use the employee's correct job title. 6. Review the job description to determine if it reflects the current duties of the position. Are any additions or deletions needed? The project, the Community College Survey of Student Engagement (CCSSE), is funded by The Pew Charitable Trusts and the Lumina Foundation for Education. The Community College Leadership Program at The University of Texas at Austin administers The Community College Student Report (CCSR) which examines student engagement and retention issues. Research shows that students who read and write more, and who interact in positive ways with their teachers and peers, gain more in terms of essential skills and competencies. Identifying what our students do in and out of the classroom, knowing their goals, and understanding their external responsibilities can help us create an environment that can enhance student learning, development, and retention. The survey will be administered in classes randomly selected by CCSSE to ensure a representative sample and to preserve the integrity of the survey results. Therefore, funds to cover supplies, travel, and other miscellaneous expenses anticipated before June must be encumbered in advance. State account numbers begin with 11- and County account numbers begin with 21-. Review Accounts All State and County accounts should be reviewed and budget transfers submitted to move funds, if necessary, to where they will be needed. Purchasing Services should be notified if there are current encumbrances which should be released. This will allow obligated funds to be redistributed. P-Cards Charges A "Requisition for Blanket Order" (BO) must be entered to cover charges to P-Cards made in April and May. Be sure to include P-Card purchases already made in April in these encumbrances. Vendor #0077462 should be used on all P-Card Blanket Orders. This number should also be shown on P-Card reports for April, and May when they are submitted to Accounts Payable. When P-Card statements for April and May are processed, the appropriate BO will be reduced by the amounts indicated on the report. June purchases will be billed and paid in July. Non P-Card Purchases Requisitions for Blanket Orders (BO) and Purchase Orders (PO) should be entered to encumber funds for anticipated purchases not charged to a P-Card. The vendor for these purchases is the company or organization providing the goods or services. Travel Expenses A Requisition for Blanket Order (BO) should be done to cover anticipated travel expenses. A separate BO should be done for each traveler - the vendor for travel BOs is the name of the traveler. (If registration fees can be put on the P-Card, these should be included in the BO for P-Card charges and not included in travel BOs.) Unencumbered Charges Account managers will be required to provide additional funding for unencumbered charges on the April, and May P-Card statements. P-Card charges for June will be paid from next year's budget. Deadlines April 16 All Requisitions for Blanket Orders and Purchase Orders must be entered by April 16. All available State and County funds will be frozen after this date. State funds exempted are New Industry, Literacy, Vocational Ed, Tech Prep, CED Special Projects, and Focused Industrial Training (FTT). May 21 All items, regardless of funding sources, must be received and all invoices submitted to Accounts Payable. If an encumbrance included an item that will not be purchased or travel expense which will not be processed, Purchasing should be notified to reduce the encumbrance so those funds can be released.
