To access our databases, click on "Find an Article" from the library website, and search by alphabet or by subject from our database homepage (http://www.cpcc.edu/library/db/dbhome.htm). All employees are responsible for entering their name and employee ID on the top of the time sheets before submitting the timesheet to their supervisor. The timesheets are in Excel format and contain macros that will add the number of hours worked during the week automatically. Employees will be able to save their timesheets on their computer so that they will have an electronic copy of the information that was submitted to HR. Training sessions for timesheets will be held the week of August 23 through 27 on each campus. Leave balances are available online at WebAdvisor at https://webadvisor.cpcc.edu/datatel/openweb/index.html. Please remember that the current leave balances reflect leave earned through July and leave taken through June. -------------- next part -------------- An HTML attachment was scrubbed... We are asking faculty, staff, and students to be aware of the following arrangements and to be prepared for changes in their routines. Please use the faculty deck on Friday morning instead of surface parking lots at Central Campus. Guests will be arriving for this event before 7:30 a.m. and will be leaving around 10:30 a.m., so traffic around campus will be very heavy. With the reduced amount of parking, with the guest traffic, and with streets being closed in the area for multiple, brief time periods between approximately 7:30 and 10:30, students and staff should allow extra time to arrive at classes on time. -------------- next part -------------- An HTML attachment was scrubbed... Please review the following information for an explanation of the 10% attendance reporting requirements for distance education students. Thanks for your time and effort to ensure the FTE reporting procedures and State regulations are followed. 10% Attendance Reporting Requirements for Distance Students Title 23 of the N.C. Administrative Code, 2D.0323- Reporting and Student Hours In Membership for Curriculum Programs and 2D.0324 - Reporting of Student Hours in Membership for Extension (Non-credit) Continuing Education Classes provides regulations for reporting and documenting distance education classes. Distance education is considered a nontraditional delivery method of instruction that includes classes which are offered through media such as internet, telecourses, videocassette and other electronic media excluding N.C. Information Highway. Please check to ensure that the correct class type and instructional method are used when Course Origination Documents -CODs- are initiated in the division. Additional information at: North Carolina Administrative Code North Carolina Community College System Numbered Memo CC04-109 CPCC Compliance & Audit Office According to the Administrative Code, the basis for determining class membership in distance education classes at the 10% point of the class can be accomplished in one of the following four ways, for both curriculum and continuing education classes: * student on line attendance in class * student attendance in an orientation session * submission of a written assignment * or submission of an examination At CPCC, for ease of reporting and simplicity, the student online attendance in the class is the preferred method for determining class membership in internet classes. To comply with regulations and achieve consistency among faculty in reporting, the following procedures are recommended: FOR ONLINE STUDENTS (Internet classes) Instructors are given the official roster from their division. That roster specifies the 10% date of the class. Instructors must check the statistics in their online courses (most of them in the Blackboard and Moodle -Learning Management Systems) and look for the first day each student accessed the specific course. Click here for instructions on getting Course Statistics in Blackboard The instructor must mark the roster with an "E" beside each student's name to denote that the student entered or accessed the class on or before the 10% date of the class. Click here for the example roster The roster with the printed copy of the statistical report from Blackboard or Moodle showing the dates the students accessed the courses must be sent to the Compliance & Audit Office within the designated dates and deadlines. EXCEPTIONS: If for technical issues or similar circumstances, the student could not enter the online class but got in touch with you via e-mail during that 10% period, the student can be counted and that e-mail should be attached to the roster. FOR TELECOURSE INSTRUCTORS Due to the nature of telecourses, the 10% attendance can be determined with any of the following procedures: * Student attendance in an orientation session with the student signing an attendance sheet. Typically, this is a face-to-face orientation. * If it is a telecourse enhanced with an online component, it will work the same way as online internet class * Submission of a written assignment * Submission of an examination NOTE: Whatever method is selected by the telecourse instructor, the documentation must be easily accessible and kept for auditing purposes within the instructional division. -------------- next part -------------- An HTML attachment was scrubbed... Remember that FERPA is the set of federal regulations governing (1) access to educational records and (2) release of educational records. Today is the first in the series -- a question about students who are minors Q. I have a couple of students in my class who are minors. One is a concurrently enrolled high school student who is only 16. His father has asked for information about his progress-- whether he is attending and if he is passing. If a student is a minor, it's OK to share information to his parents, isn't it? A. No. At postsecondary institutions, any current or former student, regardless of age, is protected by FERPA regulations. Q. Even if the parent verifies that the student is his tax dependent? A. No, not at Central Piedmont. FERPA says that colleges may provide student information to parents who claim a student for tax purposes - but not that we must. At CPCC this is neither our policy, nor our practice. Q. So how can I help this parent? A. Consider asking the parent to meet with you and bring his son. At that meeting, ask the student if he minds discussing his progress with his father. -------------- next part -------------- An HTML attachment was scrubbed... I'm a faculty advisor, and I know that I cannot share student information with parents, girlfriends, employers and so on. If a student is known to you or properly identified, there should be no concern about discussing grades and other information related to academic progress with the student. Q. Are there limits or exceptions? A. Yes. Among records related to a student and defined as educational records, there are certain records to which students do not have rights. These include: 1. Financial information submitted by their parents. 2. Specified confidential letters or recommendations that may be on file. 3. Education records containing information about more than one student. (As to item #3, however, the inquiring student does have a right to the information in the record that pertains only to him or her. Information on other students in the record cannot be revealed.
